B. BOOKING REGULATIONS
- Tenants are required to conduct a venue survey prior to booking the room in order to view the room layout in person. PIC Creative Space shall not be held responsible for any issues arising from bookings made without a prior venue survey.
- After the venue survey has been completed, tenants are required to regularly check the availability of the room, as well as their preferred date and time. Availability must be checked periodically, as the schedule is publicly accessible and may change at any time if another tenant completes a booking.
- Once the tenant has agreed to the selected room, available schedule, and the Terms & Conditions of PIC Creative Space, the tenant is required to proceed with the booking in order to secure the slot before it is booked by another party.
- The tenant will receive an invoice as the basis for the booking. During the invoice validity period, the selected date will be placed on hold exclusively for your event. Booking can only be processed during staff operational hours, and tenants are expected to complete the payment within the deadline stated on the invoice. If payment is not made before the due date, the selected date will be released and made available to the public.
- All payments made are strictly NON-CANCELABLE, NON-RESCHEDULABLE, and NON-REFUNDABLE under any circumstances, except in cases of force majeure.
- After the tenant completes the booking process, the PIC Creative Space team will contact the tenant to schedule a Technical Meeting.
C. VENUE ACCESS & OVERTIME
- Tenants may access the room strictly according to the booked rental time.
- For example, if the booking is scheduled from 09:00 AM to 01:00 PM (WIB), the tenant is only permitted to enter the room starting at 09:00 AM. Early arrival does not grant permission to enter the venue before the rental period begins.
- This rule also applies to all vendors or third-party partners, including booth tenants, catering services, decoration teams, photobooth providers, event organizers, and others. Tenants are responsible for informing all related parties that access to the venue is strictly limited to the booked rental hours.
- Any vendor or partner arriving earlier than the scheduled time must wait until the rental period begins before entering the venue.
- Tenants are required to ensure that the event is completed and the venue is fully cleared before the end of the rental period. If the area is not vacated accordingly, overtime charges will be applied immediately. Overtime is calculated per hour, starting from the first minute after the rental period ends.
- For example, for a booking from 03:00 PM to 06:00 PM, the event must be fully completed and the venue cleared no later than 06:00 PM. Overtime will be charged starting from 06:01 PM.
- Overtime will be calculated from 06:01 PM to 07:00 PM and charged on an hourly basis.
- Overtime fees will follow the standard rate of the respective room (promotions and discounts are not applicable) and must be settled before the tenant leaves the venue.
- Overtime is not permitted if there is another event or internal activity scheduled after the rental period ends.
- For your information, PIC Creative Space provides a 1-hour buffer between events or activities. This buffer time is allocated for the PIC Creative Space team to prepare or adjust the venue for the next event, or to rest and reset the space if there is no subsequent booking.
D. VENUE SURVEY
- The tenant, together with their vendors or third-party partners, is required to conduct at least one venue survey to directly view the room layout and available facilities. PIC Creative Space shall not be held responsible for any issues arising from bookings made without a prior venue survey.
- Venue surveys may only be conducted during staff operational hours and must be scheduled in advance by appointment to avoid any scheduling conflicts with other activities.
- The duration of each venue survey is limited to a maximum of 1 hour, including any delays caused by the tenant or their vendors/partners in arriving at PIC Creative Space.
- During the venue survey, essential facilities such as multimedia systems, lighting, and sound systems will be activated for demonstration purposes.
- To ensure smooth operations, PIC Creative Space reserves the right to reschedule or decline unscheduled visits, especially if they conflict with ongoing events, venue surveys, or technical meetings with other clients.
E. TECHNICAL MEETING
- The tenant is required to conduct one (1) technical meeting with PIC Creative Space staff, together with all involved vendors or third-party partners, including but not limited to catering, decoration, photographers, videographers, entertainment, manpower, event committee, event organizers, and any other related parties.
- The technical meeting may only be conducted during staff operational hours, based on a pre-agreed schedule, in order to avoid any conflicts with other ongoing activities.
- The technical meeting can be conducted either ONSITE or ONLINE.
- The duration of the technical meeting is 1 hour, including any delays in arrival (for onsite meetings) or late joining (for online meetings) by the tenant and/or any vendors or partners.
- For ONSITE technical meetings, testing or activation of venue facilities such as multimedia systems, lighting, and sound systems is strictly not permitted.
- Please note that the technical meeting is not a rehearsal session. Therefore, internal preparations, run-throughs, or practice sessions outside of technical discussions are not allowed.
- If the tenant and/or their vendors or partners fail to attend the technical meeting, all risks arising from such absence shall be fully borne by the tenant.
- All agreements made during the technical meeting shall serve as the official reference for all parties, including PIC Creative Space, the tenant, and all related vendors or partners.
- PIC Creative Space shall not be responsible for any changes made outside the agreements established during the technical meeting.
F. TAX AND RECEIPTS
- PIC Creative Space / PT Pilar Inspirasi Citra is a NON-VAT Registered (Non-PKP) company and does not issue Tax Invoices (VAT/PPN invoices).
- Any submission or issuance of tax payment documentation between PIC Creative Space and the tenant shall be provided no later than the 20th of the following month after the tenant has completed the payment.
- PIC Creative Space may issue a receipt upon request by the tenant.
G. PROHIBITION OF SMOKING, WEAPONS & NARCOTICS
- Smoking, vaping, and any similar activities are strictly prohibited in all areas of PIC Creative Space and within the Wisma Staco Building environment.
- Bringing, using, or storing sharp weapons in any form is strictly prohibited within PIC Creative Space and the Wisma Staco Building environment.
- Bringing, using, or storing narcotics and other illegal substances is strictly prohibited within PIC Creative Space and the Wisma Staco Building environment.
- The tenant is responsible for informing all parties involved in the event, including participants, committees, guests, speakers, event organizers, vendors, and other third-party partners, regarding these regulations.
- Any violation of the smoking or vaping prohibition will result in a fine of IDR 500,000 per person. Full responsibility lies with the tenant. Wisma Staco Building management reserves the right to take appropriate action in accordance with applicable policies.
- If any violation involving sharp weapons or narcotics is found, PIC Creative Space reserves the right to confiscate the items, and Wisma Staco Building management reserves the right to take necessary action in accordance with applicable policies.
- All fines incurred will be invoiced and must be fully settled before the tenant leaves the venue.
- For your information, a designated smoking area is available at the rear of the building (corridor area). All parties are expected to use this designated area. The building management reserves the right to take action against any violations.
H. RESTRICTIONS ON BEVERAGES
- The following beverages are not permitted to be brought into PIC Creative Space: Coffee and tea in any form (sachet, bottled, cup, or brewed/boiler), from brands other than KRÝO CAFÉSTORE.
- PIC Creative Space reserves the right to temporarily hold or store such beverages brought from outside, in relation to the presence of KRÝO Cafestore within the venue area.
- The tenant is responsible for informing all parties involved in the event, including participants, committees, guests, speakers, event organizers, vendors, and other third-party partners, regarding this policy.
I. HOUSE RULES FOR USE OF PIC CREATIVE SPACE AREA
- Loading-in and loading-out activities are included within the total booked rental duration.
- The electrical capacity provided by PIC Creative Space is 8,000 WATT (FOV), intended for tenant use. Additional power supply is not permitted, and generator usage is strictly prohibited.
- All parties are required to maintain cleanliness throughout PIC Creative Space and the Wisma Staco Building environment.
- It is not permitted to move, relocate, or modify the position of any equipment or facilities owned by PIC Creative Space without prior permission.
- The following activities are strictly prohibited:
- Damaging, nailing, or attaching items that may leave marks on any area of PIC Creative Space or the Wisma Staco Building
- Leaving or disposing of banners and congratulatory flower boards within the venue or building waste area
- Cooking activities in any area of PIC Creative Space or the Wisma Staco Building
- Using the name, phone number, or address of PIC Creative Space for personal purposes (such as package or food delivery) without prior approval from PIC Creative Space
- PIC Creative Space does not provide any form of storage or safekeeping of items, either before or after the rental period.
- The tenant, together with all vendors or third-party partners, is required to comply with all applicable house rules of PIC Creative Space.
