A. OPERATIONAL HOURS

B. BOOKING REGULATIONS

  1. Tenants are required to conduct a venue survey prior to booking the room in order to view the room layout in person. PIC Creative Space shall not be held responsible for any issues arising from bookings made without a prior venue survey.
  2. After the venue survey has been completed, tenants are required to regularly check the availability of the room, as well as their preferred date and time. Availability must be checked periodically, as the schedule is publicly accessible and may change at any time if another tenant completes a booking.
  3. Once the tenant has agreed to the selected room, available schedule, and the Terms & Conditions of PIC Creative Space, the tenant is required to proceed with the booking in order to secure the slot before it is booked by another party.
  4. The tenant will receive an invoice as the basis for the booking. During the invoice validity period, the selected date will be placed on hold exclusively for your event. Booking can only be processed during staff operational hours, and tenants are expected to complete the payment within the deadline stated on the invoice. If payment is not made before the due date, the selected date will be released and made available to the public.
  5. All payments made are strictly NON-CANCELABLE, NON-RESCHEDULABLE, and NON-REFUNDABLE under any circumstances, except in cases of force majeure.
  6. After the tenant completes the booking process, the PIC Creative Space team will contact the tenant to schedule a Technical Meeting.

C. VENUE ACCESS & OVERTIME

  1. Tenants may access the room strictly according to the booked rental time.
    1. For example, if the booking is scheduled from 09:00 AM to 01:00 PM (WIB), the tenant is only permitted to enter the room starting at 09:00 AM. Early arrival does not grant permission to enter the venue before the rental period begins.
    2. This rule also applies to all vendors or third-party partners, including booth tenants, catering services, decoration teams, photobooth providers, event organizers, and others. Tenants are responsible for informing all related parties that access to the venue is strictly limited to the booked rental hours.
    3. Any vendor or partner arriving earlier than the scheduled time must wait until the rental period begins before entering the venue.
  2. Tenants are required to ensure that the event is completed and the venue is fully cleared before the end of the rental period. If the area is not vacated accordingly, overtime charges will be applied immediately. Overtime is calculated per hour, starting from the first minute after the rental period ends.
    1. For example, for a booking from 03:00 PM to 06:00 PM, the event must be fully completed and the venue cleared no later than 06:00 PM. Overtime will be charged starting from 06:01 PM.
    2. Overtime will be calculated from 06:01 PM to 07:00 PM and charged on an hourly basis.
  3. Overtime fees will follow the standard rate of the respective room (promotions and discounts are not applicable) and must be settled before the tenant leaves the venue.
  4. Overtime is not permitted if there is another event or internal activity scheduled after the rental period ends.
  5. For your information, PIC Creative Space provides a 1-hour buffer between events or activities. This buffer time is allocated for the PIC Creative Space team to prepare or adjust the venue for the next event, or to rest and reset the space if there is no subsequent booking.

D. VENUE SURVEY

  1. The tenant, together with their vendors or third-party partners, is required to conduct at least one venue survey to directly view the room layout and available facilities. PIC Creative Space shall not be held responsible for any issues arising from bookings made without a prior venue survey.
  2. Venue surveys may only be conducted during staff operational hours and must be scheduled in advance by appointment to avoid any scheduling conflicts with other activities.
  3. The duration of each venue survey is limited to a maximum of 1 hour, including any delays caused by the tenant or their vendors/partners in arriving at PIC Creative Space.
  4. During the venue survey, essential facilities such as multimedia systems, lighting, and sound systems will be activated for demonstration purposes.
  5. To ensure smooth operations, PIC Creative Space reserves the right to reschedule or decline unscheduled visits, especially if they conflict with ongoing events, venue surveys, or technical meetings with other clients.

E. TECHNICAL MEETING

  1. The tenant is required to conduct one (1) technical meeting with PIC Creative Space staff, together with all involved vendors or third-party partners, including but not limited to catering, decoration, photographers, videographers, entertainment, manpower, event committee, event organizers, and any other related parties.
  2. The technical meeting may only be conducted during staff operational hours, based on a pre-agreed schedule, in order to avoid any conflicts with other ongoing activities.
  3. The technical meeting can be conducted either ONSITE or ONLINE.
  4. The duration of the technical meeting is 1 hour, including any delays in arrival (for onsite meetings) or late joining (for online meetings) by the tenant and/or any vendors or partners.
  5. For ONSITE technical meetings, testing or activation of venue facilities such as multimedia systems, lighting, and sound systems is strictly not permitted.
  6. Please note that the technical meeting is not a rehearsal session. Therefore, internal preparations, run-throughs, or practice sessions outside of technical discussions are not allowed.
  7. If the tenant and/or their vendors or partners fail to attend the technical meeting, all risks arising from such absence shall be fully borne by the tenant.
  8. All agreements made during the technical meeting shall serve as the official reference for all parties, including PIC Creative Space, the tenant, and all related vendors or partners.
  9. PIC Creative Space shall not be responsible for any changes made outside the agreements established during the technical meeting.

F. TAX AND RECEIPTS

  1. PIC Creative Space / PT Pilar Inspirasi Citra is a NON-VAT Registered (Non-PKP) company and does not issue Tax Invoices (VAT/PPN invoices).
  2. Any submission or issuance of tax payment documentation between PIC Creative Space and the tenant shall be provided no later than the 20th of the following month after the tenant has completed the payment.
  3. PIC Creative Space may issue a receipt upon request by the tenant.

G. PROHIBITION OF SMOKING, WEAPONS & NARCOTICS

  1. Smoking, vaping, and any similar activities are strictly prohibited in all areas of PIC Creative Space and within the Wisma Staco Building environment.
  2. Bringing, using, or storing sharp weapons in any form is strictly prohibited within PIC Creative Space and the Wisma Staco Building environment.
  3. Bringing, using, or storing narcotics and other illegal substances is strictly prohibited within PIC Creative Space and the Wisma Staco Building environment.
  4. The tenant is responsible for informing all parties involved in the event, including participants, committees, guests, speakers, event organizers, vendors, and other third-party partners, regarding these regulations.
  5. Any violation of the smoking or vaping prohibition will result in a fine of IDR 500,000 per person. Full responsibility lies with the tenant. Wisma Staco Building management reserves the right to take appropriate action in accordance with applicable policies.
  6. If any violation involving sharp weapons or narcotics is found, PIC Creative Space reserves the right to confiscate the items, and Wisma Staco Building management reserves the right to take necessary action in accordance with applicable policies.
  7. All fines incurred will be invoiced and must be fully settled before the tenant leaves the venue.
  8. For your information, a designated smoking area is available at the rear of the building (corridor area). All parties are expected to use this designated area. The building management reserves the right to take action against any violations.

H. RESTRICTIONS ON BEVERAGES

  1. The following beverages are not permitted to be brought into PIC Creative Space: Coffee and tea in any form (sachet, bottled, cup, or brewed/boiler), from brands other than KRÝO CAFÉSTORE.
  2. PIC Creative Space reserves the right to temporarily hold or store such beverages brought from outside, in relation to the presence of KRÝO Cafestore within the venue area.
  3. The tenant is responsible for informing all parties involved in the event, including participants, committees, guests, speakers, event organizers, vendors, and other third-party partners, regarding this policy.

I. HOUSE RULES FOR USE OF PIC CREATIVE SPACE AREA

  1. Loading-in and loading-out activities are included within the total booked rental duration.
  2. The electrical capacity provided by PIC Creative Space is 8,000 WATT (FOV), intended for tenant use. Additional power supply is not permitted, and generator usage is strictly prohibited.
  3. All parties are required to maintain cleanliness throughout PIC Creative Space and the Wisma Staco Building environment.
  4. It is not permitted to move, relocate, or modify the position of any equipment or facilities owned by PIC Creative Space without prior permission.
  5. The following activities are strictly prohibited:
    1. Damaging, nailing, or attaching items that may leave marks on any area of PIC Creative Space or the Wisma Staco Building
    2. Leaving or disposing of banners and congratulatory flower boards within the venue or building waste area
    3. Cooking activities in any area of PIC Creative Space or the Wisma Staco Building
    4. Using the name, phone number, or address of PIC Creative Space for personal purposes (such as package or food delivery) without prior approval from PIC Creative Space
  6. PIC Creative Space does not provide any form of storage or safekeeping of items, either before or after the rental period.
  7. The tenant, together with all vendors or third-party partners, is required to comply with all applicable house rules of PIC Creative Space.

B. TATA CARA PEMESANAN

  1. Pihak penyewa wajib melakukan survey venue sebelum booking ruangan untuk melihat layout ruangan secara langsung. PIC Creative Space tidak bertanggung jawab atas kendala yang timbul jika booking ruangan dilakukan tanpa survey venue terlebih dahulu.
  2. Setelah survey venue dilakukan, pihak penyewa wajib melakukan pengecekan ketersediaan ruangan, tanggal dan jam yang diinginkan. Pengecekan wajib dilakukan secara berkala karena jadwal terbuka untuk umum dan dapat terjadi perubahan jika ada pihak penyewa lainnya yang melakukan booking.
  3. Apabila pihak penyewa telah menyetujui pilihan ruangan, jadwal yang tersedia serta Syarat & Ketentuan yang berlaku di PIC Creative Space, maka pihak penyewa wajib melakukan booking ruangan agar tidak didahului pihak penyewa lainnya.
  4. Pihak penyewa akan menerima invoice sebagai dasar booking. Selama masa berlaku invoice, tanggal yang dipilih akan di-hold khusus untuk kebutuhan event Anda. Proses booking ruangan hanya dapat dilakukan pada jam operasional staf, dan pihak penyewa diharapkan melakukan pembayaran sesuai dengan tenggat waktu yang tertera pada invoice. Apabila pembayaran tidak dilakukan hingga melewati masa berlaku, maka tanggal tersebut akan kembali dibuka untuk umum.
  5. Seluruh pembayaran yang sudah dilakukan tidak dapat DIBATALKAN / DI-RESCHEDULE / DI-REFUND dengan alasan apapun, kecuali jika terjadi keadaan kahar (force majeure).
  6. Setelah pihak penyewa melakukan booking ruangan, staf PIC Creative Space akan menghubungi pihak penyewa untuk menjadwalkan Technical Meeting.

C. AKSES MEMASUKI RUANGAN & OVERTIME RUANGAN

  1. Pihak penyewa dapat memasuki ruangan sesuai dengan waktu sewa yang telah di booking.
    1. Sebagai contoh, jika pihak penyewa melakukan booking ruangan pukul 09.00 – 13.00 WIB, maka pihak penyewa baru bisa memasuki ruangan pukul 09.00 WIB. Kedatangan lebih awal tidak diperkenankan untuk memasuki ruangan sebelum waktu sewa dimulai.
    2. Hal ini juga berlaku bagi vendor atau mitra kerja (seperti tenant booth, catering, dekorasi, photobooth, event organizer, dll). Pihak penyewa diharapkan untuk menginformasikan ketentuan ini kepada seluruh pihak terkait bahwa akses memasuki ruangan tetap sesuai dengan jam yang telah di booking.
    3. Vendor atau mitra kerja yang datang lebih awal tetap harus menunggu hingga waktu sewa dimulai sebelum dapat memasuki ruangan.
  2. Pihak penyewa wajib menyelesaikan acara dan melakukan clear area sebelum jam sewa berakhir. Apabila area belum dikosongkan sesuai waktu sewa, maka biaya overtime akan dikenakan secara langsung. Overtime dihitung per jam, dimulai dari menit pertama setelah waktu sewa berakhir.
    1. Sebagai contoh, untuk pemesanan pukul 15.00–18.00 WIB, acara harus selesai dan area sudah dalam kondisi clear paling lambat pukul 18.00 WIB. Overtime akan dihitung mulai pukul 18.01 WIB.
    2. Overtime akan dihitung dari pukul 18.01 – 19.00 WIB dengan hitungan per jam.
  3. Biaya overtime mengikuti harga normal masing-masing ruangan (promo dan diskon tidak berlaku), dan wajib diselesaikan sebelum pihak penyewa meninggalkan venue.
  4. Overtime tidak dapat dilakukan apabila terdapat event lain atau kegiatan internal setelah waktu sewa berakhir.
  5. Sebagai informasi, PIC Creative Space menyediakan jeda waktu 1 jam antar event atau kegiatan. Jeda tersebut dipergunakan oleh tim PIC Creative Space untuk kebutuhan persiapan atau penyesuaian ruangan dan istirahat jika ada event berikutnya atau meninggalkan PIC Creative Space jika tidak ada event selanjutnya.

D. SURVEY VENUE

  1. Pihak penyewa bersama dengan vendor atau mitra kerja diwajibkan melakukan minimal 1 kali survey venue untuk melihat langsung layout ruangan dan fasilitas yang tersedia. PIC Creative Space tidak bertanggung jawab atas kendala yang timbul apabila booking ruangan dilakukan tanpa survey terlebih dahulu.
  2. Survey venue hanya dapat dilakukan pada jam operasional staf dan wajib melalui janji temu sebelumnya untuk menghindari benturan dengan kegiatan lain.
  3. Durasi survey adalah maksimal 1 jam, termasuk keterlambatan dari pihak penyewa dan vendor atau mitra kerja lainnya untuk tiba di PIC Creative Space.
  4. Survey venue akan menyalakan fasilitas seperti multimedia, lighting dan sound system.
  5. Untuk menjaga kelancaran operasional, PIC Creative Space berhak menyesuaikan atau menolak kunjungan yang belum terjadwal, terutama apabila berbenturan dengan event, survey, atau technical meeting klien lainnya.

E. TECHNICAL MEETING

  1. Pihak penyewa wajib melakukan 1 kali technical meeting bersama staf PIC Creative Space dan seluruh vendor atau mitra kerja yang terlibat, seperti catering, dekorasi, fotografer, videografer, entertainment, manpower, panitia acara, event organizer, dan pihak lainnya yang terlibat.
  2. Technical meeting hanya dapat dilakukan pada jam operasional staf sesuai dengan jadwal yang telah disepakati, guna menghindari benturan dengan kegiatan lainnya.
  3. Technical meeting dapat dilakukan secara ONSITE maupun ONLINE.
  4. Durasi technical meeting adalah 1 jam, termasuk keterlambatan kedatangan (onsite) maupun keterlambatan bergabung (online) dari pihak penyewa dan vendor atau mitra kerja lainnya.
  5. Untuk technical meeting ONSITE, tidak diperkenankan melakukan uji coba atau menyalakan fasilitas seperti multimedia, lighting, dan sound system.
  6. Mohon diperhatikan bahwa technical meeting bukan merupakan sesi rehearsal atau gladi resik, sehingga tidak diperkenankan melakukan persiapan internal, run-through, maupun latihan di luar pembahasan teknis.
  7. Apabila pihak penyewa dan vendor atau mitra kerja tidak melakukan technical meeting, maka seluruh risiko yang timbul menjadi tanggung jawab pihak penyewa.
  8. Hasil kesepakatan dalam technical meeting akan menjadi acuan kerja bagi seluruh pihak, termasuk PIC Creative Space, pihak penyewa, serta vendor atau mitra kerja terkait.
  9. PIC Creative Space tidak bertanggung jawab atas perubahan yang dilakukan di luar kesepakatan technical meeting.

F. PAJAK DAN KUITANSI

  1. PIC Creative Space / PT Pilar Inspirasi Citra merupakan perusahaan NON PKP yang tidak menerbitkan Faktur Pajak (PPN).
  2. Penyerahan atau penerimaan bukti pembayaran pajak diterima atau diberikan oleh PIC Creative Space kepada pihak penyewa paling lambat setiap tanggal 20 di bulan berikutnya setelah pihak penyewa melakukan pembayaran.
  3. PIC Creative Space dapat menerbitkan kuitansi apabila diperlukan oleh pihak penyewa.

G. LARANGAN MEROKOK, SENJATA TAJAM & NARKOTIKA

  1. Tidak diperbolehkan merokok, vaping atau aktivitas sejenisnya di seluruh area PIC Creative Space dan di lingkungan Gedung Wisma Staco.
  2. Tidak diperbolehkan membawa, menggunakan, atau menyimpan senjata tajam di seluruh area PIC Creative Space maupun lingkungan Gedung Wisma Staco.
  3. Tidak diperbolehkan membawa, menggunakan, atau menyimpan narkotika serta zat terlarang lainnya di seluruh area PIC Creative Space maupun lingkungan Gedung Wisma Staco.
  4. Pihak penyewa wajib menginformasikan ketentuan ini kepada seluruh pihak yang terlibat dalam event termasuk; peserta, panitia, tamu, narasumber, event organizer, vendor atau mitra kerja lainnya.
  5. Pelanggaran terhadap larangan merokok atau vaping akan dikenakan denda sebesar akan dikenakan denda sebesar Rp 500.000 per orang. Tanggung jawab sepenuhnya berada pada pihak penyewa. Pihak Gedung Wisma Staco berhak mengambil tindakan sesuai kebijakan yang berlaku.
  6. Apabila ditemukan pelanggaran terkait senjata tajam atau narkotika, PIC Creative Space berhak melakukan penyitaan barang, dan pihak Gedung Wisma Staco berhak mengambil tindakan sesuai kebijakan yang berlaku.
  7. Seluruh denda yang timbul akan ditagihkan melalui invoice dan wajib diselesaikan sebelum pihak penyewa meninggalkan venue.
  8. Sebagai informasi, area merokok telah disediakan di bagian belakang gedung (area selasar). Seluruh pihak diharapkan menggunakan area tersebut. Pihak Gedung Wisma Staco berhak mengambil tindakan apabila terdapat pelanggaran.

H. PEMBATASAN KHUSUS MINUMAN

  1. Minuman yang tidak diperkenankan masuk ke area PIC Creative Space adalah Kopi dan teh dalam bentuk apapun (sachet, botol, cup, boiler), dari brand lain selain KRÝO CAFÉSTORE.
  2. PIC Creative Space berhak untuk menahan atau menyimpan sementara minuman sejenis dari luar, sehubungan dengan adanya KRÝO Cafestore di area PIC Creative Space.
  3. Pihak penyewa wajib menginformasikan ketentuan ini kepada seluruh pihak yang terlibat dalam event seperti; peserta, panitia, tamu, narasumber, event organizer, vendor atau mitra kerja lainnya.

I. TATA TERTIB PENGGUNAAN AREA PIC CREATIVE SPACE

  1. Persiapan (loading in) dan clear area (loading out) termasuk dalam durasi waktu sewa yang telah dibooking.
  2. Daya listrik yang disediakan oleh PIC Creative Space adalah 8.000 WATT (FOV) untuk digunakan oleh pihak penyewa dan tidak diperkenankan adanya penambahan daya (genset tidak diizinkan).
  3. Seluruh pihak wajib menjaga kebersihan area PIC Creative Space dan lingkungan Gedung Wisma Staco.
  4. Tidak diperbolehkan membawa, memindahkan, atau mengubah posisi peralatan dan perlengkapan milik PIC Creative Space tanpa izin.
  5. Tidak diperbolehkan :
    1. Merusak, memaku, atau menempelkan sesuatu yang dapat meninggalkan bekas di seluruh area PIC Creative Space maupun Gedung Wisma Staco.
    2. Meninggalkan atau membuang spanduk dan papan bunga di area atau tempat sampah PIC Creative Space maupun Gedung Wisma Staco.
    3. Melakukan aktivitas memasak di seluruh area PIC Creative Space maupun Gedung Wisma Staco.
    4. Menggunakan nama, nomor dan alamat PIC Creative Space untuk kepentingan pribadi (pengiriman paket/makanan) tanpa adanya informasi dan persetujuan dengan pihak PIC Creative Space.
  6. PIC Creative Space tidak menyediakan penitipan barang dalam bentuk apapun, baik sebelum maupun setelah waktu sewa.
  7. Pihak penyewa bersama seluruh vendor atau mitra kerja wajib mematuhi seluruh tata tertib yang berlaku di PIC Creative Space.
